# Additional costs: including delivery in the cost price of a sale, re-invoicing

> The Additional costs document increases the cost price of goods or a service and creates a debt to the supplier of the service (carrier, broker). Create it based on "Sales of goods and services", specify the supplier, service, amount and allocation method, and the costs go to the cost price of that particular sale.

## What the Additional costs document is for

The Additional costs document adds to the cost price of a specific product, sale or production the costs that arose outside the price of the goods themselves: delivery, loaders' work, packaging, customs fees. It does two things:

- it increases the cost price: if a table was bought for 1,000 UAH and sold for 2,000 UAH, and delivery cost 200 UAH, the cost price of the deal is 1,200 UAH and the profit is 800 UAH, not 1,000;
- it creates a debt to the supplier of the service (Nova Poshta, a carrier), which you can pay.

## How to create an Additional costs document

The most convenient way is to [create the document based on](https://bimpsoft.com/en/help/basics/create-based-on/) a posted shipment:

1. Open **Sales → Sales** and find the "[Sales of goods and services](https://bimpsoft.com/en/help/sales/shipment/)" document.
2. Click **Create based on → Additional costs**. The sale items are filled in automatically.

Alternative: open **Warehouse → Additional costs** and click **Create** (or **Warehouse → Other documents → Create → Additional costs**). In that case you have to select manually the sales, purchase or production document the costs are linked to.

## How to fill in the document

Fill in the fields in the left panel:

| Field | What to enter |
|---|---|
| "Responsible", "Creation date", "Document number" | the responsible manager; the date and number are filled in automatically and can be changed |
| "Supplier" | the company that provided the service (carrier, broker) |
| "Contract" | the contract with this supplier; if there is none, create it in the counterparty card |
| "Organization" | the organization that bears the costs |
| "Service" | the service you add as a cost (for example, "Delivery") |
| "Service amount" | the cost of the service, equal to your debt to the supplier |
| "Service qty" | the quantity; after you select the service, the unit of measure is filled in |
| "Operation" | what the costs are added to: a sale, a purchase or production |
| "Allocate" | the allocation method: "By amount" or "By quantity" |
| "Supplier order" | the linked [Supplier order](https://bimpsoft.com/en/help/purchasing/purchase-order/), if one has been created |

After you select the "Operation", Bimp loads the list of matching posted documents (for example, "Sales of goods and services") that the costs can be linked to.

![Additional costs document: supplier "Nova poshta", service "Delivery" for 500 UAH, quantity 1, operation "Sale", document "Sales of goods and services No. 60", allocation "By amount"; the table has a "Delivery" row with costs of 500 UAH](https://bimpsoft.com/help/_img/b859377c-cd4c-4e48-874c-8683f4991d37.webp)

In the products table only the "Costs" column changes: the amount added to the cost price of the item. You cannot add or edit the products themselves here. Keep in the table only the rows that the costs should be assigned to (for example, only the "Delivery" service) and delete the extra ones.

The "Payment" block works as in other documents: select "Deferral" (no deferral, full, partial) and, if needed, turn on "Add to [payment calendar](https://bimpsoft.com/en/help/finance/payment-calendar/)".

Save the document and post it.

## How to pay the carrier for the service

After the document is posted, a debt to the supplier of the service appears. To close it:

1. In the Additional costs document, click the **Orders** button on the right panel and create a Supplier order for the service.
2. Based on it, create a Supplier payment — see [Supplier payment](https://bimpsoft.com/en/help/purchasing/supplier-payment/).

> [!WARNING]
> Do not create a separate Goods receipt document for the delivery service: the Additional costs document is itself the certificate of completed work from the carrier.

## Example: re-invoicing a delivery service

You sell a customer goods and a "Delivery" service for 1,000 UAH, while the delivery is actually performed by Nova Poshta for 500 UAH. To see your real earnings on delivery:

1. In the "Delivery" service card, check the expense item: it must belong to the "Cost price" group (by default "Work in progress"). Otherwise the costs will not reach gross profit.
2. Create a [Customer order](https://bimpsoft.com/en/help/sales/customer-order/) with the goods and the "Delivery" service and, based on it, a "Sales of goods and services" document. While there are no costs, the cost price of the service is zero.
3. Based on the sale, create "Additional costs", keep the "Delivery" row in the table, select the supplier "Nova poshta", the delivery service, the amount of 500 UAH and the allocation "By amount". Save and post.

In the "Gross profit" report, the "Delivery" row will show revenue of 1,000 UAH, cost price of 500 UAH and profit of 500 UAH, and the [supplier settlements](https://bimpsoft.com/en/help/reports/supplier-settlements-report/) report will show a debt of 500 UAH to Nova Poshta. See [Gross profit](https://bimpsoft.com/en/help/reports/gross-profit-report/).

## How to check the result

Open **Reports → Warehouse → [Stock movement](https://bimpsoft.com/en/help/reports/stock-movement-report/)** and find the product: an "Additional costs" row will appear, which increases the write-off value without changing the quantity.

If additional costs are entered after the sale, repost the sale so that the cost price updates immediately — see [Cost price recalculation](https://bimpsoft.com/en/help/costing/cost-recalculation/). Costs on a goods receipt (customs duty, delivery from the supplier) are recorded separately — see [Additional costs on a goods receipt](https://bimpsoft.com/en/help/purchasing/landed-costs/).

## FAQ

**Do I need to separately record a goods receipt for the carrier's service?**

No. The Additional costs document is itself the certificate of completed work from the carrier. It is enough to create a Supplier order and a Supplier payment based on it.

**Who should I specify in the "Supplier" field?**

The company that provided the service (carrier, customs broker, Nova Poshta), that is, the party you owe money to. Not the buyer of the goods.

**What is the difference between allocation "By amount" and "By quantity"?**

"By quantity" divides costs equally across each unit of goods, "By amount" divides them in proportion to the value of the goods: a more expensive product gets a larger share.

**How do I see additional costs in reports?**

The "Stock movement" report will show an "Additional costs" row, which increases the write-off value but does not change the quantity. Profit is visible in "Gross profit".
