# Products and services: how to create items in the Bimp catalog

> Products and services in Bimp are stored in one directory, "Products and services" (the product catalog). To create an item, open "Directories → Products and services" or "Warehouse → Products and services", click "Create", enter the name, the type ("Product" or "Service") and the unit of measure, and save. The type cannot be changed after saving.

## Where products and services are stored

Products and services in Bimp are stored in one directory, "Products and services", also called the product catalog. You can open it in two ways:

- **Directories → Products and services** opens the directory by default;
- **Warehouse → Products and services** shows availability, stock balances and prices in addition to the card.

There are three ways to add items: create a card manually in the directory, create it in the "Warehouse" module, or [import products from Excel](https://bimpsoft.com/en/help/products/import-products/). You can also create an item right in a customer order with the **Create** button in the "Product" field. ## How to create a product

1. Open **Directories → Products and services** and click **Create**. In the "Warehouse" module, use the **Create** button (or **+ Product**) on the "Products and services" tab.
2. Enter the "Name" at the top of the card.
3. Fill in the fields on the "Properties" tab (see the table below). The name, type and unit of measure are required.
4. Click **Save**.

| Field | What it means |
|---|---|
| "Print name" | The product name in printed forms: invoices and other documents |
| "Type" | "Product" or "Service". Cannot be changed after the first save |
| "Group" | A category from the [group structure](https://bimpsoft.com/en/help/products/product-groups/); can be left empty |
| "Expense account" | Not editable when creating a product; no need to fill it in |
| "Unit of measure" | The accounting unit; the list is configured in [units of measure](https://bimpsoft.com/en/help/products/units-of-measure/) |
| "SKU" | An internal code. Must be unique |
| "Tax invoice code" | A code for tax documents; optional |
| "Minimum stock", "Maximum stock" | The critical minimum and the allowed maximum of stock |
| "Barcode" | Enter it manually, or click the field and scan with a scanner |
| "Weight, kg", "Length, cm", "Width, cm", "Height, cm" | Weight and dimensions |
| "Supplier" | The main supplier from the list of counterparties |

If there is no field for your data, add a [custom characteristic](https://bimpsoft.com/en/help/basics/custom-fields/) with the **Add characteristic** button at the bottom of the card.

> [!WARNING] The "Product" or "Service" type cannot be changed after the first save. Check it before you click "Save".

## What the product card shows in the Warehouse module

In addition to the fields, the product card in the "Warehouse" module contains blocks with current data:

- **"Availability"** shows stock balances in warehouses, the available quantity and [reservations](https://bimpsoft.com/en/help/sales/reserves/); the button in the corner of the block opens the details;
- **"Supply"** shows the date of the nearest [receipt](https://bimpsoft.com/en/help/purchasing/goods-receipt/), its volume and the total expected quantity; the data comes from all future goods receipt documents;
- **"Price"** shows the current price from the main [price list](https://bimpsoft.com/en/help/pricing/price-lists/), the last purchase price and the cost price. The table is editable: specify the price effective date, price list, amount and currency;
- **"Modifications"** shows the product variants, see [Modifications](https://bimpsoft.com/en/help/products/variants/);
- **"[Specifications](https://bimpsoft.com/en/help/production/specifications/)"** lists the materials needed for production. If the product already has modifications, you cannot add a specification.

Before opening the "Modifications" tab, save the product card so that the parent product is saved and modifications can be linked to it.

## How to create a service

A service is created the same way as a product, but with the "Service" type.

1. Open **Directories → Products and services** and click **Create**.
2. Enter the service "Name".
3. In the "Type" field, select **Service**.
4. In the "Expense account" field, select an [expense item](https://bimpsoft.com/en/help/getting-started/income-and-expense-items/) if the service is included in the cost price. The items "Depreciation" and "Exchange rate difference" are not available for a service.
5. In the "Unit of measure" field, specify the unit, for example "std. hour".
6. Click **Save**.

## How to create a product right in an order

You can create a new item while preparing a document, without leaving it. In the customer order table, open the list of the "Product" field and click **Create** at the bottom of the list. After you save, the item is added to the "Products and services" directory and filled into the row.

## Tips for maintaining the directory

- Use a single naming standard: it makes items easier to find and reduces duplicates.
- Check the file for duplicates before importing. If the data is already entered and needs correcting, open the card in the list and change it there.
- Restrict editing of the directory with [access roles](https://bimpsoft.com/en/help/access/roles/).
- Items with stock balances are not deleted; they are archived, see [Deleting and archiving](https://bimpsoft.com/en/help/basics/archive-and-delete/).

## FAQ

**Can I change the item type from "Product" to "Service"?**

No. After the card is saved for the first time, the "Product" or "Service" type cannot be changed. If you chose the wrong type, create a new card.

**Must the SKU be unique?**

Yes. Duplicate SKUs cause confusion when writing off for production or selling, and make reports and stock balances show incorrect data.

**How do I create a product while entering an order?**

In the "Product" field of an order row, click "Create". The new item is saved in the "Products and services" directory.

**Can I upload many products at once?**

Yes, from an Excel file through "Warehouse → Data import". See the article about importing products and stock balances.
