Writing off materials to the cost price of an order or work order

In short

To charge the cost of materials to a specific Customer order or Work order, create a "Write-off" document and choose the operation type "Cost price". Specify the order in the document header (one object) or in the table row by row (different objects). The expense is recognized on the write-off document date and is immediately visible in the "Gross profit" and "Income and expenses" reports.

Why write off to cost price

Writing off to cost price directly charges the cost of used materials to a specific Customer order or Work order. You see the real cost of doing the work before the sale, and the order’s margin is calculated correctly.

Example. A furniture maker builds a table for order No. 101. Varnish and fittings must be written off from the warehouse for it. The accountant creates a write-off with the type “Cost price” and links it to order No. 101: the cost of the materials immediately goes into the cost price of this table instead of being lost in general workshop expenses.

How to create a cost price write-off

  1. Open Warehouse → Write-off and click Create (see also Write-off).
  2. In the “Operation type” field, change the default value “Expenses” to Cost price. Choose it only when the expenses must be linked to a specific order.
  3. In the “Expense item” field, choose an item. For the type “Cost price”, only items from the “Cost price expenses” group are available.
  4. Specify the cost object: the method depends on how many orders the document has (see below).
  5. Add goods on the “Goods, services” tab with the warehouse and quantity.
  6. Check the rows and click Post (or Post and close).

How to specify an order or work order

One object for the whole document. If all materials go to one order, choose the “Customer order” or Work order in the field in the document header.

Different objects by row. If you write off materials to several orders with one document, turn on the “Order in table” switch (in another version of the instructions, “Cost price object in table”). The header field disappears, and an “Order” column appears in the table, where you choose a separate order for each row. When you add a new row, the value is copied from the previous one.

How the write-off appears in reports

The write-off cost price is recognized on the write-off document date, even if the order has not yet been shipped to the customer. After posting:

ReportWhat appears
Gross profita separate row for the order or work order: revenue 0 (if there was no sale yet), and in the “Cost price” column the amount of written-off materials
Income and expensesthe write-off amount in the general “Cost price” item

FAQ

When does the write-off cost price get into reports?

On the write-off document date, even if the goods have not yet been shipped to the customer.

How do I write off materials to several orders with one document?

Turn on the cost object switch in the table: then the order is chosen in each row separately.
