Transferring and receiving goods in the Ecosystem
On this page
The supplier transfers goods in "Ecosystem → Goods transfer", and the seller automatically gets a "Receipt of goods" document with the status "New". The seller matches the goods to their own reference list, creates batches and sets the status "Received". After that, the transfer can no longer be cancelled, and no debt arises yet.
How transferring goods on consignment works
Transferring goods in the Ecosystem takes place in two stages with two mirror documents. The supplier (principal) creates a “Goods transfer”: the goods are written off from their main warehouse and move to the shared warehouse. The seller (commission agent) sees the incoming “Receipt of goods” document and confirms acceptance: the goods appear in their stock.
Example. A manufacturer sends 20 units of a product to a partner’s store. The manufacturer issues a transfer, the store matches the product to its own reference list and sets “Received”.
Before you start
A transfer is possible if the Ecosystem is already set up: the parties have exchanged IDs and a shared warehouse has been created: see Ecosystem setup. In addition, every product the seller accepts on consignment must be in their products reference list with the “Use batches” switch turned on (this is set once in the product card).
How to create a goods transfer (supplier)
The supplier creates the transfer document when the goods are ready to ship.
- Open the Ecosystem section, the “Goods transfer” tab.
- Click Create document.
- Choose the warehouse you ship the goods from and the shared warehouse you transfer them to. The counterparty (the owner of the shared warehouse) is filled in automatically.
- In the table part, add the goods and specify the quantity and the transfer price for the partner. For how this price affects settlements, see Prices and cost price in the Ecosystem.
- Click Save.
The currency is taken from the contract specified in the document.
How to accept goods (seller)
As soon as the supplier saves the transfer, an incoming document with the status “New” automatically appears for the seller in Ecosystem → Receipt of goods.
- Open the document with the status “New”.
- In the table, next to the product name the supplier specified, choose the corresponding product from your own reference list (product matching).
- Create a batch for the goods: Bimp offers to do this.
- Click Save.
While the document has the status “New”, there are no stock movements or debts.
How to confirm or reject a transfer
The status “Received” confirms that the goods were actually accepted, and the status “Rejected” means refusing them.
- If the goods were actually received, change the status of the receipt document to “Received”. For the supplier, the status automatically becomes “Received” as well.
- If the goods cannot be accepted (defect, mistake), set the status “Rejected” before confirming acceptance.
What changes in reports after a transfer
A consignment transfer is not a sale, so no debt arises.
| Party | Warehouse and stock movement | Settlements |
|---|---|---|
| Seller (commission agent) | The goods are in stock in quantity, but without cost price, because they have not been bought out yet | Debt to the supplier 0 |
| Supplier (principal) | The goods and their cost price move from the main warehouse to the shared warehouse | Customer debt 0 until sold to the end customer |
See also the Stock movement report.
What next
The goods are with the seller in custody. The debt arises after the sale and the creation of the report: see Selling consignment goods and reporting.
FAQ
Does a debt arise at the moment goods are transferred on consignment?
No. A transfer is not a sale: neither the seller nor the supplier has a debt until the goods are sold to the end customer.
Can I cancel a transfer after the status "Received"?
No. After the status "Received", neither the supplier nor the seller can cancel the document or change the status to "Rejected". You can refuse only before confirmation.
What should I do if the goods arrived defective?
The seller sets the status "Rejected" in the receipt document before confirming the acceptance.
